1. Our commitment

Fox Care Pty Ltd (ABN 34 683 751 742) is bound by the Australian Privacy Principles in the Privacy Act 1988 (Cth). This policy explains how we handle personal information about care workers, the staff of care providers, and anyone who contacts us.

2. What we collect

From care workers:

  • name, date of birth, gender, home address, email, mobile number and photo;
  • emergency contact details;
  • professional registrations (for example AHPRA), qualifications and the roles you work;
  • police checks, worker screening checks, immunisation records and other documents a role requires;
  • visa and work-entitlement details;
  • tax file number, superannuation fund and bank account details, for paying you;
  • your availability, the distance you will travel, the shifts you take, your timesheets and pay;
  • your location at the moment you tap “I’ve arrived” on a shift (see section 3).

From care providers and their staff: organisation name, ABN, addresses of your locations, billing details, and the names, work emails, phone numbers and access level of the people who use the account.

From everyone: messages and support requests you send us, and basic technical information needed to keep you signed in and the platform secure (such as your browser type and IP address).

3. Your location

We use your home address to match you to shifts within the travel distance you set. During a shift, a single position is recorded only when you tap “I’ve arrived”, to confirm attendance at the site. We do not track you before, during or after a shift.

If the recorded position is more than about 500 metres from the site, the arrival is flagged to Fox Care and the provider. If your phone cannot get a location or you decline, your arrival is still recorded and you are never stopped from working or being paid.

4. Sensitive information

Police and screening checks, immunisation and other health information are sensitive information under the Privacy Act. We collect it only with your consent, which you give when you create a worker account, and only because it is necessary to place you safely in healthcare work. You can withdraw consent, but we will then be unable to offer you shifts.

Tax file numbers are collected only for payroll, are never used as an identifier, and are disclosed only as tax law requires.

5. Why we collect it

  • to verify that workers are qualified, entitled and safe to work in healthcare settings;
  • to match workers to suitable shifts, and tell them and providers about shifts;
  • to record hours, calculate pay and charges, pay workers and invoice providers;
  • to meet our obligations under tax, superannuation, employment, work health and safety and aged care law;
  • to respond to questions, complaints and incidents, and to keep the platform secure.

We do not use your information for advertising and we do not sell it.

6. Who we share it with

  • Care providers, when you are matched to or booked on one of their shifts: your name, photo, worker number, role, that your checks are current, your approximate distance from the site, and your progress and hours on their shifts. Providers never see your tax file number, bank details, date of birth or home address.
  • Government bodies where the law requires it — for example the Australian Taxation Office, your superannuation fund, the Fair Work Ombudsman, work health and safety regulators, and aged care or NDIS regulators.
  • Service providers who run parts of the platform for us under confidentiality obligations: cloud hosting and storage, our database, email and SMS delivery, mapping and address lookup (Google), document generation, and payroll and accounting.

7. Storage outside Australia

Some of our service providers store or process information outside Australia, mainly in the United States. We choose providers with strong security practices and take reasonable steps to ensure they handle your information consistently with the Australian Privacy Principles.

8. How we protect it

Information is sent over encrypted connections and access is limited to the people who need it for their role. Bank details and tax file numbers are shown only where genuinely required; a pay run shows only the last digits of an account number. Documents are stored privately and opened through short-lived links.

If a data breach is likely to cause serious harm, we will notify affected people and the Office of the Australian Information Commissioner as the Notifiable Data Breaches scheme requires.

9. How long we keep it

Employment, pay and tax records are kept for at least seven years, as the Fair Work Act 2009 and tax law require. Information about people who applied but never worked a shift, or who closed their account without working, is deleted or de-identified two years after their last activity unless the law requires us to keep it.

10. Access, correction and complaints

You can see and correct most of your details yourself in the app. To ask for a copy of everything we hold about you, or to have something corrected, email hello@foxcare.com.au with the subject “Privacy”. We will respond within 30 days.

If you think we have mishandled your personal information, contact our Privacy Officer at the same address. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
